My struggles with productivity

Right from my first job as the police chief of a city, I would start every day with a long to-do list, hoping to crush it that day. But by evening, a piddly number of tasks would get done, and I would feel defeated.

I would blame myself for being sloppy, not working hard enough, not being smart enough, etc. Even when I joined McKinsey, which took pride in solving the world’s hardest business problems, nobody taught me how to manage my own tasks. As a result, I would not submit my taxes on time and pay penalties, not file expense reimbursements, and even forget to pay my credit card bills on time.

And it is not that I did not try to solve this problem! I tried every possible productivity technique you can name.

Why my productivity systems failed

I made to-do lists on paper, online apps, and spreadsheets. For major projects, I created fancy Google sheets, writing down tasks, subtasks, and deadlines. I tried all kinds of productivity software – from Asana to Basecamp. But somehow, nothing seemed to work.

To be sure, every new system would look promising in the beginning. But soon, as I added all my tasks, subtasks, and deadlines, it became so complicated that just looking at it would give me a headache. I would not even know where to start! Naturally, I stopped using it.

I even tried creating daily task lists from Monday to Friday (on Notion). But of the 10 things to be completed on Monday, I would finish 2 or 3. Then, cursing myself, I would move the incomplete tasks to the next day and repeat. Finally, I just gave up.

What frustrated me was not just the unfinished to-dos but the overwhelm and hopelessness I felt when I looked at my mile-long to-do list.

And if this wasn’t bad enough, in the last decade, with the advent of WhatsApp, Slack, etc., getting work done has become even harder. In a recent survey that we did, we found that 50% of people are checking their messages every few minutes. And we are constantly interrupted by urgent tasks and ad hoc meetings.

It made me wonder – is this productivity problem even solvable?

Thankfully, it is. 😊

The breakthrough – birth of Zen Productivity

It took me years of research and experimentation to figure out the answer. I studied everything about productivity, focus, and deep work, and tested the ideas in my life. And FINALLY, I crafted a process that worked for me – it almost eliminated my overwhelm, lowered my work anxiety, and gave me real clarity. I felt like a free person.

I don’t have to work long hours – in fact, I work the fewest hours I ever have, despite running a busy startup. I felt so good that I decided to make it into a training program – that is how Zen Productivity was born.
